Based in Little Rock, Arkansas, The Brad Hendricks Law Firm has built a reputation for providing client-focused representation across a broad range of practice areas, including personal injury, medical malpractice, Social Security disability, family law, bankruptcy, and business law. To support their growing team and evolving workflow needs, the firm decided to transition from Needles to Neos. Leading the change were Tristan Wingfield, the Director of Digital Marketing and Web Development who manages IT and technical operations, and Anet Rosas, a paralegal directly involved in the day-to-day case management. Before Neos

The Brad Hendricks Law Firm had used Needles desktop for over a decade with consistent results. However, the increasing complexity of legal technology integrations—especially with Microsoft Outlook—meant the firm needed a more robust, modern solution.



“Needles desktop was okay. It worked. It did the job. But it was, you know, at that point, probably 12–15 years old.” -Tristan Wingfield



One significant issue that affected productivity was the Outlook integration, which the team heavily relied on for communication and recordkeeping.



“The Needles Outlook add-in was breaking… and that wasn’t a Needles issue, it was a Microsoft issue. But that add-in saves hours a week because it’s a big part of our paralegals’ and attorneys’ work, so it obviously made sense to want to save that.” -Tristan Wingfield



Although they considered other systems, the transition benefits and user experience in Neos (including a comparable Outlook add-in) made it the standout choice.



“Neos made the most sense for transition reasons. I liked the user interface better than any other that I messed with.” -Tristan Wingfield

Seamless Implementation and Frictionless Platform Adoption

Transitioning from Needles desktop to Neos was easier than expected—even with the firm's preference for keeping documents stored locally. Tristan explained that the Neos implementation team worked with their needs seamlessly.



“It was pretty simple. We always keep local copies on our local servers here, and [Neos] was easy-peasy. That's how we wanted it and [the Neos team] was like, ‘We can make that work. Implementation was easier than I thought it was going to be.”



That flexibility made adoption smoother, especially for team members who had used Needles for years. The familiar structure of Neos reassured staff while offering a more modern and user-friendly experience.



“Everything that we had in Needles is there. It just looks different. That was helpful, especially with the people that were very used to Needles. The layout is easy to use. People can access it from anywhere. Those are things that are helping us.” -Tristan Wingfield



Even longtime users who were initially hesitant about switching software quickly found themselves comfortable with the platform.



What Took Days on Needles Now Takes Minutes with Neos

One of the biggest improvements Neos brought to the firm was the ability to manage templates and document generation entirely in-house. What used to take days and required assistance from the Needles tech support can now be completed in minutes by the team.



“Give us 10 minutes, maybe not even that, and we can generate a whole new template. In the cloud, docs are ready to go, and it’s usable. On Needles… it was a few-day ordeal. We'd have to call the tech team at Needles and say, ‘Hey, we need this coded.’” -Tristan Wingfield



Lower Overhead and Speedier Workflows

In addition to expediting document generation, Neos has helped the firm reduce physical paper usage, streamline their workflows, and make it easier to access everything on the go.



“I don’t spend time putting a packet together for the attorney to have. Everything’s accessible online.That helps a lot. We don’t spend [on] supplies. Everything can be accessed electronically.” -Anet Rosas



These improvements not only make the team more efficient but also free up resources and reduce administrative overhead.



Smarter Oversight and Immediately Accessible Support

Neos also introduced tools that improved visibility into daily workflows—without adding micromanagement. Tristan highlighted how the Activity Feed enables more thoughtful, objective team oversight.



“If there’s a suspicion that someone is not completing their work… the Activity Feed is incredible. You can just look at the list and go, ‘Okay, this is what was done yesterday firm-wide. You don’t want people getting burned out. So it’s a helpful way to… [track] if they have too many cases.”



What’s more, the Neos Knowledge Base and Learning Hub dramatically lightened the IT load by empowering users to troubleshoot and learn on their own.



“It saves me, on the tech side of things, hours a week. I used to be the middleman for all that, and I'm no longer. I used all of the Neos Knowledge Base tools to make it a little bit simpler [for staff].” -Tristan Wingfield



Thanks to these tools, staff are more self-sufficient, and IT bottlenecks have been significantly reduced.



What We Love About Neos

Despite some initial hesitation about adopting a new system, the team adjusted quickly. Tristan expected a bumpy ride, but it never came.



“I was putting it out there… this is gonna be a nightmare for 6 months… [but] within the first month, every one of our users, attorneys included, had it down.”



Anet emphasized how much she appreciated the modern feel of the platform.



“I really like the layout of it, it is easy to use. [Neos] helps us learn to be more efficient.”



Tristan also praised Assembly’s implementation team and ongoing support.



“I couldn’t have imagined it would’ve been as easy to move, and you guys made it really easy. The teams that Assembly has put in place to help with integration, build out… It’s incredible.”
