Latorre Law Firm is a full-service immigration and personal injury law firm with offices across North and South Carolina as well as Florida, serving clients nationwide. With over 28 years of experience and a growing team of more than 170 employees, the firm needed a modern, scalable case management platform that could support remote operations, simplify complex processes, and reduce IT dependency.

Leading the transition to Neos was Kim Hoang, Executive Assistant and 22-year veteran of the firm, who coordinated every detail of the migration process. Before Neos

Latorre Law Firm had been using Trialworks since 2007. The system supported them reliably through years of growth, but as the firm expanded and added new offices across the country, the need for a cloud-based platform became increasingly urgent.



“We started with Trialworks in 2007. We love Trialworks. The only thing was that Trialworks was never going to grow and get any bigger. Now, this year we are opening three new offices, and last year we had 12 offices. Trialworks is hosted on our server here, so if Charlotte goes down, then everything goes down.”



The firm needed a solution that could handle hundreds of fields, manage dual practice areas, support remote staff across time zones, and ensure continuity across 170+ users — without compromising performance or customization.



Over that five-year search, Kim led the team through multiple software evaluations and migrations that ultimately didn’t work out. The firm tried MerusCase, Docketwise, and MyCase—but each failed to meet their high-volume needs and complex personal injury and immigration workflows.



“MyCase and Docketwise were horrific. MyCase would miss things all the time. Things were promised but they wouldn’t deliver. The communication was horrible and it was very minimal on what they could provide. Then my case bought Docketwise, and it was like the same thing repeated all over again. We spent a year each with those platforms, still practicing law the entire time. It was exhausting.”

After years of frustrating migrations, Kim had developed a detailed two-page checklist of all the things that had gone wrong in previous transitions—and came prepared to endure a rocky process. To her surprise, everything ran exactly as planned.



“I had pretty much two pages’ worth of, ‘Hey, don’t forget to ask about these. These were the things that failed last time.’ The Assembly migration team gave me a timeline, they gave me weekly takeaways, action points, and someone was notating all of it. That's usually my job!”

Kim praised the Neos trainers for being detailed and thorough, offering her team a strong foundation for success.



“The trainers were extremely detailed, and I really appreciated it because then there’s all these workarounds and all these great features with Neos.”



To ensure even greater adoption, Kim took the initiative to personalize training materials internally. She condensed multi-hour sessions into 20-minute, role-specific modules and implemented a layering approach over time.



“I took the training and reduced it down to about 20 minutes. Day one, everyone was able to go through the software and work. We do a layering process. Once they’re familiar with the basics, then we show them how to do more advanced things like record requests and custom formatting.”



To keep her team efficient and frustration-free, Kim even built a SharePoint knowledge base of 50+ bite-sized Neos training videos and sends out “Neos Tip of the Week” videos firm-wide.



“If someone is frustrated, it ripples out. So I send a 1-minute video and the problem never exists. It’s gone before it starts. It’s really easy. We have a SharePoint database on Neos training. All these little videos like how to pull reports, reconnect Outlook, clear cache, and other things you don’t need every day but are good to know.”



This combination of detailed training from the Neos team and internal optimization minimized stress and ensured long-term adoption across the team.



Customization No Longer Requires External Assistance

With Neos, Kim no longer needs to rely on external IT support to make system updates — a major shift from the limitations they faced with Trialworks.



“If someone says, ‘Hey, Kim, we need an extra field to track A-numbers,’ I go in, add it in two seconds, and it’s there. I don’t have to call IT or ask anyone to program something or build me a custom report.”



The ability to quickly modify user-defined fields, adjust templates, and customize workflows has enabled the firm to evolve its processes internally without delay.



Flexible Dual Labeling System Maximizes Case Organization

Neos’ dual labeling system of categories and tags also plays a vital role in organizing the firm's complex immigration cases.



“We can categorize and say, ‘This is proof of residency,’ and under that, tag them as tax forms, and it keeps everything organized. If someone says, ‘Hey, Kim, we need an extra field to track A-numbers,’ I go in, add it in two seconds, and it’s there. I don’t have to call IT or ask anyone to program something or build me a custom report.”



The dual labeling system also helps streamline their document-heavy immigration work.

Settlement Prep Time Decreased by 94%

One of the biggest time-saving gains after switching to Neos came from settlement preparation. Previously, preparing a settlement statement in Trialworks was a tedious, manual task.



“In Trialworks before we had to enter them all manually so like if a case had 20 providers, it would probably take us an hour and a half to enter in all the providers listed all on an Excel sheet. With Neos, I can push one button. It’s a 5-minute process. I just copy and paste.”



This new workflow not only saved valuable hours but also reduced the chances for human error during data entry — a critical improvement for the firm’s operations.



A Support Team That’s On Their Side

The support team has become an extension of Kim’s operations. When issues arise, she gets fast responses, detailed explanations, and long-term solutions.



“I send in a support ticket and within five or ten minutes, they’re calling me back. The feedback has been wonderful. A couple of things that I had issues with have already been fixed in the last release.”
